Apprenticeship Service Setup: An Employer Step-by-Step Guide
Before any apprenticeship can start, the employer needs an apprenticeship service account. It is the government's online system for managing apprenticeship funding, approving training providers and confirming apprentice details. Setting it up is not complicated, but it helps to know the order of the steps and who in your school or trust should own them. This guide takes you through it.
Who should set up the account
In most schools this sits with the business manager, HR lead or finance officer. In a multi-academy trust it is usually managed centrally so that funding and approvals are visible across the trust. Whoever creates it, make sure at least two people have access so that approvals are never held up by one absence.
Before you start
A GOV.UK One Login, created with a work email address you check regularly.
Your organisation's Government Gateway login. If its annual pay bill is under £3 million, you can instead use its PAYE scheme reference and Accounts Office reference number.
Authority to add the PAYE scheme and accept the employer agreement on behalf of your organisation.
Confirmation of whether you pay the apprenticeship levy or will use government co-investment or a levy transfer.
The name of the training provider you intend to work with.
Step by step
Create or sign in with your GOV.UK One Login and start a new apprenticeship service account.
Add your PAYE scheme so the system can link your organisation and, if you pay the levy, your funds.
Add your organisation details and accept the employer agreement on behalf of the legal entity.
Add team members and set their permissions, deciding who can approve apprentice records and who can view only.
Give the National College of Education (NCE) permission to add apprentice records and, if you wish, to recruit on your behalf.
Review and approve the apprentice details your provider submits, checking names, start dates, the apprenticeship standard and the agreed price.
Permissions: the step most often missed
Many delays come from providers not having the right permissions. Once you have chosen NCE, granting permission to add apprentice records means we can prepare the details for you to review, rather than you entering everything yourself. You still approve every record before it goes live.
